How to create your guests list?

November 1, 2024

Planning your wedding is an exciting time inyour relationship, but one of the most daunting tasks can be creating your guest list. With so many friends and family members to consider, it’s easy to feel overwhelmed. However, breaking down the process into four simple steps can make it much easier.

1. You and your fiance sit down together to discuss your price point for your wedding (budget). Your price point for your wedding is important when considering the guests list because the number of guest determines the size of your venue and the cost of catering, table centerpieces, cake, and more. How many guests that attend your wedding will play a factor the total cost of your wedding.
2. Begin by creating a spreadsheet of everyone you would invite if price point was not a factor.  Create a tab in the spreadsheet for each catergory. This can be completed together or separately with your parents.  Here are a few thoughts.

  • Family and your friends

  • Extended family

  • Collegues

  • Family friends

  • Acquaintances

3. After your preliminary list is complete review with your fiance to make sure no one of importance has been left off. If your parents are involved with the planning of your wedding this is also the time to discuss with them the list you both have made to determine that you have not left anyone off of importance.  Remember to be upfront with your parents the type of wedding you want and the number of guests you ultimately want to attend. Whne you review the list, there will be names that you will cross off. (e.g. the fraternity brother you haven't spoken to since college or your neighbor when you were a child and hasn't been apart of your life, the work collegue that just started at the office, etc.)
4. How many names are left on the list after the review? This is your guest list. Create a tab in the spreadsheet with who you are going to invite, don't forget plus ones or children. Now the fun begins, start collecting addresses to poplulate your spreadsheet to send out save a dates. You are also ready to begin planning the details of your dream wedding.

Other important factors to consider include the venue's capacity, location, availability on your desired date, and what’s included with the venue rental. Engaged couples should inquire about included amenities, catering options, and the venue's list of preferred vendors.
